How to Access Data

Data should be made available only to those people, processes, or technologies that need them for a legitimate business purpose. Access should be role-based and restricted to the minimum amount of information and time required to accomplish an employee’s business function.

As the System Data Governance Program matures, we will have consistent mechanisms for requesting access to data. However, currently, processes for requesting data at each of the three campuses are independent from one another.

CSU Fort Collins

To request access to the Data Warehouse (ODS), submit a request through the ODS Data Access Request application. As part of your request, you’ll need to select the data domain you’re interested in accessing: Student, Finance, Directory, etc. When submitted, your request will follow a workflow for signatures that include your supervisor, department Data Steward, and Data Custodian (check terminology). You can monitor the status of your request through the same web app.

The CSU Data Warehouse (ODS) is a repository of data collected and updated from various Colorado State University systems. These data sources include the following systems:

  • Ellucian Banner Student Information System for the Fort Collins and Pueblo campuses
  • Kuali Financial System for the Fort Collins and Pueblo campuses
  • General Directory for the Fort Collins and Pueblo campuses
  • Workday Human Capital Management for the Fort Collins and Pueblo campuses
  • CSU Foundation
  • Facilities Asset Management
  • Kuali Research System

CSU Global

All requests for data access are submitted through CSU Global’s internal ticketing system. Reviews for access are conducted and approved by the Vice President who oversees the area requesting access.

CSU Pueblo

All data access requests for systems not listed above should go to the Office of the Provost to be forwarded appropriately.
